Privacy
This page summarises how Matchcandence handles your information. It is a plain-language summary, not a substitute for a full legal policy.
What we collect
Your account details (name, email), the resumes and profile information you add, your job search preferences, and a record of the applications made on your behalf. Recruiters also add vacancies and the CVs they upload or receive through their apply link.
Why we use it
To fill job applications for candidates, to rank CVs against a vacancy for recruiters, and to run billing and account security. Uploaded files are scanned for viruses before anyone can open them.
Payments
Card payments are processed by Paystack. Your card details are entered on Paystack and are not stored by Matchcandence.
How long we keep it
We keep data only as long as it is needed. These are the periods we work to today (see the note at the end of this page).
- Your account, resumes, profile and application history: until you delete your account.
- The CV file you upload: we do not keep the file. It is read once to fill in your resume and then removed; we keep the details it contained until you delete them or your account.
- Cover letters, tailored CVs and their saved copies: 30 days.
- Saved browser sessions for job sites: removed when you disconnect, after 30 days of no use, and when you delete your account.
- Screenshots taken while applying: 7 days (14 days for screenshots of a security check that is waiting for you).
- Copies of your CV and cover letter that you can download for an application: 14 days.
- CVs sent to a recruiter through an apply link: held for the recruiter. If a CV is never ranked, or cannot be read, we delete it after about 6 months. Otherwise the recruiter keeps it until they delete the candidate or the vacancy, or delete their account and organisation.
- Payment records: the date, amount, plan and payment reference are kept for our accounts, with no name, email or CV attached. Technical records of payment notifications are removed after 90 days.
- Backups of our database: 30 days. If you delete your account, your data can remain in a backup until that backup expires.
Your choices
You can change or remove your resumes and profile details in the app. You can also delete your whole account yourself: open Profile (candidates) or Settings (recruiters) and choose Delete my account. You confirm with your password (or by signing in with Google again), and we cancel any subscription first so you are not charged again. Recruiters who are the only owner of an organisation can also delete the organisation and all its data, including applicants’ CVs. If you applied to a vacancy through a public link and have no account, email privacy@matchcandence.com and we will delete your application and CV. If you have an account, the self-service deletion above is the quickest route. For any request to see, correct or delete your data, or any other question about it, email the same address.
Note: the retention periods above are the current working figures and are still to be confirmed by a legal adviser before launch.
